Administrative Assistant (National Staff)
Stellenbeschreibung
- Awareness of ILF IMS of ILF.
- Awareness of Company Values.
- Follow health and safety requirements, rules and regulations.
- Assist Managing Director upon their requests
- Assist Administrative Specialist in all activities
- Provide administrative assistance to support activities of Company
- Receive and send telephone messages, log in the messages received in the absence of department heads
- Type and accomplish as per various assignments from HR and Admin/Project Services/IT/Business Development/Finance and Accounting departments
- Register and meet visitors (coffee/tea/water)
- Order lunch and dinner for company visitors and employees when requested
- Register and file incoming and outgoing company documents and distribute copies to the applicable department heads
- Control for keeping all documentation and register in company database in time
- Perform office administrative work, coordinate maintenance work in the office and residential buildings of the company
- Coordinate activities and obtain respective approvals by project offices
- Coordinate access-cards processing to the office
- Work with Suppliers in providing office with stationary, water supply, food, fresh fruits, dry fruits and etc.
- Prepare Purchase Order
- Track Purchase Orders through the Delivery phase, including Expediting, Logistics and Delivery
- Receive and register Material Requisitions from the Originator
- Keep good housekeeping in Administrative office
- Organize and control possible office or department moves to new locations, transportation of the company equipment and property, and settle all issues associated with changing the office /department location
- Make air/train tickets in and outside Kazakhstan
- Make hotel reservations in and outside Kazakhstan
- Take part in arranging and conducting conferences, exhibitions and company events when requested.
- Constantly improve professional skills
Qualifikation
- Knowledge of computer based systems including, Microsoft Office or equivalent software packages.
- Be proactive, a self-starter and ability to work without supervision.
- Systematic thinker and good organizational skills/ time management.
- Strong personality with ability to be firm and persuasive without authority.
- Team player within and across functions.
Education: Bachelor degree is minimum requirement.
Language skills: English and Russian are mandatory. Kazakh is advantageous.
Professional experience: Min 1 year in Administrative support function
